If something goes beyond “great,” exceeds expectations, brings unexpected joy, or takes your breath away… that’s WOW! The WOW effect brings pleasure, stirs emotions, sparks imagination, and stays in memory. When we talk about the WOW effect, we’re referring to human emotion—it’s all about stirring that emotional response. And since organizing an event is about tapping into the emotional space of the people it’s for, the WOW effect should be actively designed into the event experience.
There’s no single, clear-cut definition of the WOW effect. The concept and execution depend on the unique needs of the audience. A WOW effect is essentially going above and beyond a client’s expectations. Creating this effect means coming up with an idea that surprises event participants, leaves a lasting impression, makes an impact, and generates positive reception for the event. Some say the WOW effect is a key component of event marketing. And importantly—it works both ways: it satisfies both the audience and the creator 😉
In the industry, people sometimes say the WOW effect costs nothing. Sometimes that’s true. Other times, achieving WOW requires investment. Not everything should or can be measured in material value. However, the WOW effect always stems from genuine care for the people you’re working with, and is (often unexpectedly) initiated by the event team to bring joy to participants and offer something they can’t experience in everyday life.
It’s generally hard to define something that is, by nature, undefined—especially when it deals with emotions and feelings. Still, one thing is certain: the WOW effect is anything that goes beyond the standard. As event organizers, through experience and deep involvement in the industry, we can identify three core elements essential to creating the WOW effect:
The client
The service
Creativity, imagination, and proactivity
To spark WOW, you need to keep an eye on the global industry and stay up to date with the latest trends. What made a big impression last quarter might now be outdated and cliché. Every event must align with the company’s philosophy. To receive congratulations afterward, the event agency must offer innovative ideas and fresh solutions—and in terms of WOW, it often means stepping outside standard formats and even outside the comfort zone.
When preparing to organize an event, we learn about the client’s goals and the needs of the target group. Using all our empathy, we “step into the shoes” of both the client and the participants, trying to understand their expectations and find the most satisfying solutions. Everything is polished to perfection—down to the last detail, every button buttoned. Flawless (yes, let’s use that word). But with that level of refinement also comes… predictability. Predictable to us, and to the audience—which does reflect the professionalism of the agency—but wouldn’t it be great to surprise the client and participants? To trigger jaw-drops, wide eyes, and unforgettable reactions? That’s exactly when you weave the WOW effect into the event.
The idea for a WOW effect arises from truly understanding your target group. Sometimes, the venue itself can trigger WOW. Instead of a standard conference or banquet hall, it could be an Aviation Museum, a theater, an opera house, an old industrial space, or a Japanese Art Museum. If not the location, then its transformation—lit-up furniture, bold color schemes, cutting-edge lighting or multimedia technology that creates stunning visuals.
WOW can also come from people—renowned, charismatic emcees, celebrities, sports stars (“Ladies and gentlemen, coming to the stage is…!”), or additional surprise performances. One highly popular and impressive element is 3D mapping—a blend of light, image, and sound in a visually striking show.
You can also leverage the power of the location, the natural surroundings, or the scale of the event to create WOW through animations, confetti showers, soap bubble displays, pyrotechnics, fog effects, or other special effects. The rapid pace of technological advancement significantly supports event agencies—new tools like D3 technology allow interaction with props, LED screens, space design, stage lighting, and moving elements.
Even practical gadgets, branded giveaways, or thoughtful gifts can make a difference. It might sound simple, but in a world where everyone is always “on”—with laptops in hand and phones at their ear—human touch is often the most powerful WOW. Achieving the WOW effect leads to client satisfaction, which is ultimately the top priority for any event organizer.
At this year’s Event Industry Association conference, it was said that the WOW effect is also achieved through social campaigns—those that trigger strong emotions and deliver quick, impactful results. Sometimes, to reach an extraordinary goal, you need to step outside the box.
The WOW effect can even act as a lifesaver when something during the event unexpectedly goes wrong. In such cases, going the extra mile with a WOW moment can more than make up for any setbacks.
Organizing an event means combining many diverse elements into one cohesive experience. A successful event requires creativity, vision, imagination, and proactivity from the agency. The WOW effect is one of those elements—tailored to each client. Through efforts like this, clients and attendees get 100% satisfaction… and something more. That “something more” might be a genuine smile, a standing ovation, a tear of joy, or side-splitting laughter. Thanks to that, the event stays in everyone’s memory. You could say the WOW effect is a kind of surprise—and who doesn’t love a surprise?
Working on the WOW effect is also a sign of an agency’s motivation. Going beyond standard expectations and pushing the boundaries is how the bar keeps getting raised. Ultimately, the WOW effect is a hallmark of passionate people.
